Completed sprint 5 beta test and submitted defects.  The S5 features are working well as expected.   At the same time, we uncovered some CRM issues after extensive testing and feedback from staffs.   The issues include how to handle diverse team activity instances across Mazamas programs (e.g.; BCEP, ICS, RTM, & Outing), how to resolve some usage issues, and fixing remaining CRM defects.

Held a meeting with OMBU to go over the above issues and reached agreements to address these issues within two weeks.    As a result, we also agreed to extend the CRM phase for a couple of weeks (target completion date: February 7th) in order to build a solid, usable software foundation for future phase software development.

We are making great progress on both Sprint 4 and data migration effort this week:

  • The Sprint 4 SW was demonstrated, deployed, and being tested. Sarah also created a training video to help beta testers to get up to speed.
  • The early Sprint 4 Beta testing showed very positive results. Most functions seemed to be working well.
  • Making great progress on Data Migration effort. Drafted more data migration templates, including Place, Badges, Activities, Activity Instances, and Climbing & Hiking Routes to facilitate data curation & migration work.

We are making great progress on data migration, but stalling on Sprint 4 this week:

  • All major defects reported for the Sprint 2 release have been fixed and verified. The Sprint 2 release is officially accepted by Mazamas!
  • Created draft data migration templates to facilitate both classes (education) and activity data curation work.
  • The Sprint 4 demo and software deployment was delayed from Dec. 8 to Dec. 13 due to illness on the OMBU team in WW48.

We are making great progress on both Sprint 2 and Sprint 3 software this week:

  • All major defects reported for the Sprint 2 release have been fixed and mostly verified. The only remaining fix to be verified by Mazamas is defect#19717: “when a Member’s Membership is soon to expire, a Membership Renewal Campaign will start automatically.”
  • The Sprint 3 release supports most committed features well without major issues. Thanks for a great effort from OMBU to complete features on time and fix major defects per plan. The test case and instruction videos from OMBU were very helpful for Beta Testing Sprint 3.
  • There are some outstanding Mail Chimp Synchronization and Customization Issues. The solution for the customization issues relate to email authorship and can be solved via a form submission of email text data from Email Authors instead of a direct login to MailChimp.

We continue to improve Sprint 2 software quality while the Sprint 3 release Beta Testing is starting this week:

  • Validated the S2 release again and approved all fixes OMBU made based on our reported defects.  There is only one outstanding hot bug to be fixed.
  • OMBU demonstrated Sprint 3 release and deployed it for testing on Monday (11/21/16).  Also, test instructions (including video) were in place to guide Beta Testing.
  • OMBU plans to merge some Phase 3 and Phase 1 work together with an extra sprint in Phase 1 (to be completed by Jan 2017).  This would allow OMBU to complete all Data Model work during the CRM development phase.  We are assessing the risks and determing our next steps

We are making progress to improve Sprint 2 software quality while the Sprint 3 release deployment is delayed for two days.

  • Validated the S2 release and approved 3 major fixes OMBU made based on our reported defects.  They are #20171, #20024, #20170.
  • OMBU needed to delay S3 SW demo and deployment from this Thursday to next Monday (11/21/16).
  • This will allow OMBU time to ensure the Sprint 3 release is ready for prime time and test instructions (including video) are in place and fully tested before the release is deployed.

We extended the S2 Beta testing for an additional week because the SW is difficult to use and lacks sufficient test instructions:

  • We extended the Beta testing for one week to prepare for and educate beta testers on how to test the S2 software.
  • Validated the S2 release, identified issues, and submitted defects.
  • Communicated to OMBU that we would not accept S2 release until the quality is improved.

We are making great progress on the CRM & IT Tool Software Development this week.  OMBU successfully demonstrated and deployed their Sprint 1 software release last week. Additionally, we recruited beta testers, established the test environment, defined the test process with OMBU, and started validating the software. Overall, the software is running well, most of defects uncovered are considered minor issues or usage suggestions.

WW41 Progress Report:

  • OMBU successfully demonstrated their first CRM (Sprint 1 release) software running under Salesforce to Sarah and I in OMBU’s new office building last Thursday.  The software supports features for Contact/Account creation, editing, and displaying.
  • We recruited Beta testers for validating CRM software, that include all staff members (who will be using the CRM app) and tech-savvy CRM/Database developers (including Wei Chiang and Matt Blecharz). This should give us great test coverage for the CRM software.
  • We worked with OMBU and established the test environments, set up up Beta Testing Accounts, wrote  Validation Instructions, and defined Defect Submission Report file.
  • So far, we have identified 35 defects (some of them are duplicates).  Overall, the software is running well, most of defects are considered minor issues or usage suggestions.

Recently, OMBU had on-time deliverable and communication challenges due to lack of a dedicated project manager on their team. In addition, on our side we put a two week hold on the project to re-review the Data Model to ensure it adequately represented what we needed in our new system. During that review we made several underlying structural challenges that will better suite the needs of the organization. As a result, the IT project schedule is about two months behind our initial schedule. Since Sep. 1, a new OMBU Project Manager, Niccoli Hersey, is on board, and we have seen great progress for moving the project forward. It is too early to conclude the project is back on track, but we are encouraged by clear communication and sound project planning from OMBU.

WW39 Progress Report:

  • We officially completed the Conditioning Phase on Sept 6, 2016.  All documents (Feature Requirements, Workflows, Roles & Permissions, and Data Model) are finalized.
  • We kicked off the CRM and IT Tool phase on Sept 8, 2016. The target end date for this phase is on Dec 31, 2016.
  • OMBU completed CRM Project Planning and delivered schedule, bug reporting, and scope review process document on time.

We are making good progress this week. We are on track to resolve all remaining issues,for this phase, by the end of August. Also, we reached agreements with OMBU on the revised execution plan for next phase, CRM and IT Tool.

WW33 Progress Report:

  • We have received and resolved all comments on Workflow from all stakeholders.
  • Had multiple sessions with OMBU and addressed most remaining comments/issues, including non-hierachical place, routes as  activities, group roles, historical waiver records, grades for different seasons, group hierarchical permissions, etc.)
  • Both Workflow and Data Model will be published for public access next week.
    Our next phase is CRM & IT Tool development. We need to migrate historical data into Salesforce Database based on the data objects.
  • We will work with OMBU to come up with a template to define common formats for data migration.
